Learn all the steps required to book the hotel for sports teams.

For clients booking hotels, we offer one core product with the following six steps.

  1. Create a Trip. Enter your trip details and submit a request. This generates a request for proposals from the hotels that best fit your desired area and budget.

  2. Receive & Compare Proposals. Receive the best deals from hotels in 24 to 48 hours. Compare proposals and choose the one you like best. Sports Travel HQ will notify the hotel once you accept the proposal.

  3. Contract Signing. After choosing a hotel proposal, you can access the contract to review and sign it. After the client signs, the hotel manager will counter-sign and return the contract via email. You can also access it on your dashboard.

  4. Rooming List. Upload the rooming list into the dashboard via our rooming list tool and send it to the hotel.

  5. Confirmations Numbers. The hotel manager will send confirmation numbers via email. You can also access it on your dashboard.

  6. Final Billing Receipt. After checkout, the hotel manager will send a copy of the final billing receipt via email. You can also access it on your dashboard.

***May 28, 2022 Update***

Sports Travel HQ now supports two ways to book hotels. Hotel Sales Managers now have the option to send proposals directly to the clients email inbox without the need to send the proposals in the Sports Travel HQ dashboard. Hotel Sales Managers and Clients are now able to use their email to directly communicate with each other after the Client sends the request for proposals. The Client is still required to send the Request for Proposal from the Sports Travel HQ dashboard.

Only Using Sports Travel HQ to send the Request For Proposals

  1. Create a Trip. Enter your trip details and submit a request. This generates a request for proposals from the hotels that best fit your desired area and budget.

  2. Receive & Compare Proposals. Receive the best deals from hotels in 24 to 48 hours. Please note, some proposals maybe sent directly to your email inbox. Compare proposals and choose the one you like best.

  3. Notify the hotel. Reply to the hotel with the winning bid to let them know you have accepted their proposal.

  4. Contract Signing. The hotel sales manager will send over the contract for you to review, sign and return via email. After the client signs and returns the contract, the hotel manager will counter-sign and return the contract via email.

  5. Rooming List. The client should email the rooming list directly to the hotel sales manager immediately after receiving the counter-signed contract.

  6. Confirmation Numbers. The hotel manager will send confirmation numbers via email.

  7. Final Billing Receipt. After checkout, the hotel manager will send a copy of the final billing receipt via email.
